20x20 Trade Show Booth Rentals — What Exhibitors Actually Get

An all-inclusive 20x20 booth — a 400-square-foot footprint delivered fully turnkey, so one number on the proposal covers design, fabrication, graphics, freight, install, dismantle and every piece of show paperwork.

Exhibit Rentals runs a single warehouse model out of Las Vegas. Every booth in our 20x20 inventory is pre-assembled and inspected at our facility before it ships, so the on-site install replicates an approved build rather than assembling for the first time under deadline pressure. You can see finished examples in our project portfolio.

Who a 20x20 Footprint Fits

Mid-tier exhibitors stepping up to an open footprint tend to land on the 20x20. Where it works consistently comes down to floor area and staffing: at 400 square feet with a team of about 3–5, it suits exhibitors whose goals match the space rather than fight it.

What Fits in 400 Square Feet

A 20x20 at 400 square feet opens the booth up — you get multiple open sides, room for a demo station and a seated meeting area, a hospitality counter, and an overhead sign or tower for visibility above the aisle.

What doesn't fit: multiple enclosed meeting rooms or a dedicated theater with fixed seating.

Layout and Floor-Plan Considerations

As a corner or small island, the 20x20's strength is openness — resist walling it in. Keep the center walkable, push structure to the corners, and use height (a tower or hanging sign) to earn visibility across the hall.

Notes From Our Project Managers

Field notes on the 20x20 footprint — Jitesor

  • Resist the urge to wall in an open footprint — its whole advantage is that people can step in from more than one side.
  • Use height (a tower or hanging sign) to buy visibility you can't get from a small floor area.
  • Confirm the venue's freight and drayage tier before we crate — it's the line item that surprises exhibitors most.
  • Send graphics files early. Print production, not build, is the usual cause of a tight timeline.

What's Included in a 20x20 Rental

Every quote from Exhibit Rentals is turnkey. One number on the proposal covers every line item below — no separate drayage invoice, no surprise electrical bill, no post-show reconciliation:

  • Photorealistic 3D rendering before approval
  • Full pre-build and inspection at our Las Vegas warehouse before shipping
  • Full graphics production — backlit fabric, direct-print, or tension fabric depending on design
  • Round-trip freight from our warehouse to your show city
  • Certified installation and dismantling, fully labor-compliant for your venue
  • Show services paperwork — EAC filings, Certificate of Insurance, electrical orders, drayage coordination
  • One dedicated project manager from kickoff to load-out
  • AV equipment specification, sourcing, and on-site setup

2026 Pricing for a 20x20 Booth

Across the US, a turnkey 20x20 trade show booth rental runs roughly $13,000 to $135,900 per show. Two independent factors move the number: your build (design complexity, materials, AV count, architectural detail) and your city (freight distance from Las Vegas plus local labor and drayage rules).

The single biggest swing is where you exhibit. A 20x20 built for a Las Vegas show starts near our warehouse floor; the same booth in a high-cost union city like Chicago can run substantially higher on the all-in number — and almost all of that difference is freight and venue labor, not design or fabrication. Use the search bar at the top of this page to see pricing for your exact city.

Rent vs Buy at 20x20

At the 20x20 footprint, the rent-versus-buy decision tracks how many shows you run per year and how fast your brand evolves. Renting wins on cash flow and design flexibility for a light-to-moderate schedule; buying can amortize lower only with five or more shows a year, stable branding over a 3–5 year horizon, and the operational capacity to manage storage and refurbishment between events.

20x20 Booth Rental — Questions Buyers Ask

Real answers with real numbers. Click any question to expand.

How much does a 20x20 booth rental cost?

A turnkey 20x20 booth rental runs roughly $13,000 to $135,900 in 2026, depending on your build and your show city. The Las Vegas warehouse-local floor starts near $13,000; high-cost union cities land at the top of the range. Every quote includes design, graphics, freight, install, dismantle, and show paperwork — no separate drayage or electrical billing after the show.

Why does the price change by city?

Two things move with geography: freight distance from our Las Vegas warehouse, and local labor and drayage rules at the venue. The booth itself costs the same to design and build — it's shipping and on-site union labor that vary. That's why the same booth can start near our floor in Las Vegas and run meaningfully higher in a distant union city.

What's included in the rental price?

Every quote includes a custom 3D rendering, full graphics production, round-trip freight from our Las Vegas warehouse to your show, certified install and dismantle, EAC filings, Certificate of Insurance, electrical orders, drayage coordination, and a dedicated project manager from kickoff to load-out.

How fast can I get a quote?

You receive a custom 3D rendering and full price quote within 24 hours of submitting our quote form. The proposal lists every included line item with a single fixed number — no separate invoices for drayage, electrical, or installation.

How many staff do I need at a 20x20 booth?

Plan for roughly 3–5 staff during show hours at a 20x20, adjusted to your activities. Too few creates coverage gaps at peak; too many makes the booth feel crowded and deters walk-ins. Match staffing to your runsheet — demos, meetings, hospitality, and lead capture each need their own coverage.

Should I rent or buy a 20x20 booth?

For most exhibitors at the 20x20 footprint, renting wins — you avoid storage, refurbishment and freight-to-storage costs between shows, and you can update the look each year. Buying only pencils out with a heavy annual show schedule and branding you expect to hold steady for several years.

Which cities do you ship to?

We ship and install nationwide from our Las Vegas warehouse, covering 50-plus US cities including Las Vegas, Chicago, Orlando, New York, Atlanta, Dallas, San Francisco, Boston, Houston, and Anaheim. Use the search bar at the top of this page to see pricing and venue detail for your city.

Do you handle drayage and union labor?

Yes — drayage is included in our flat quote, and our crews handle all required union coordination at your venue. We carry every Certificate of Insurance required for install and dismantle access and manage steward sign-offs where the venue requires them.

What is your warehouse pre-build guarantee?

Every booth is fully assembled and inspected at our Las Vegas warehouse before it ships. We send preview photos for approval, then it ships. The install crew at your show is replicating an already-approved build — not assembling a booth for the first time on show day.

Can I customize a design from your gallery?

Yes. Pick any base design and customize graphics, colors, finishes, monitor and display placement, counter styles, accessories, and meeting-room configuration where applicable. Your final 3D rendering reflects every change before production starts.

What file formats do you need for graphics?

We prefer vector files (AI, EPS, PDF) for logos and high-resolution rasters (PSD, TIFF, PNG at 150dpi at final output size) for photography. Our design team handles all artwork preparation and submits proofs before printing.

How early should I book my 20x20?

For major national shows, book at least 14–18 weeks out. For mid-tier and regional shows, 10–12 weeks is workable. We do offer rush rentals at premium pricing when timelines are tighter.

Do you provide on-site support during the show?

Yes — an on-site project lead is included on larger footprints and available on smaller ones. They're on the show floor during show hours for any issue from graphic touch-ups to electrical problems to last-minute schedule changes. Dedicated on-site booth staffing is available at additional cost.

Can I add AV, monitors, and tech to my booth?

Yes — AV is fully integrated. We source, set up and operate monitor walls, presentation systems, LED columns and towers, lighting design and controllers, and touchscreen kiosks, all in one quote.

What happens to the booth after the show?

Our install-and-dismantle crew handles complete teardown, repacks the booth, and ships it back to our Las Vegas warehouse. If you want to reuse it, we store it for 90 days at no additional cost and refresh graphics for the next event.

What payment terms do you offer?

Standard terms are 50% on design approval and 50% before ship date. We accept ACH, wire, and major credit cards. Net-30 terms are available for established corporate clients with credit approval.

How do I get started?

Fill out the quote form on this page with your show name, city, dates, booth number, and any design preferences. You receive a custom 3D rendering and full-price quote within 24 hours — no obligation, no sales pressure.
