Trade Show Booth Setup & Installation

Install and dismantle, handled. Because every booth is pre-built and inspected at our Las Vegas warehouse first, on-site setup is replication of an approved build — not first-time assembly under deadline pressure. Labor, drayage, and show paperwork are included in one invoice.

Booth Setup, Done Right the First Time

Most setup horror stories start the same way: a booth that has never been fully assembled arrives at the venue, and the crew is solving design problems on the clock with the show opening in hours. Our model removes that risk entirely. Your booth is built complete at our Las Vegas warehouse, inspected, photographed for your approval, then crated. The on-site crew is rebuilding something that already worked.

Setup is part of the turnkey scope, so there is no separate install invoice and no scramble to book labor. Your city page covers the venue-specific labor rules; this page covers how setup actually runs.

How Setup Works, Step by Step

  • Warehouse pre-build. The full booth is assembled and inspected in Las Vegas. You approve preview photos before anything ships.
  • Crate & freight. The booth is packed and shipped on a schedule that protects your install window — same-day in Las Vegas, a few days' transit to other cities.
  • Drayage & move-in. Materials are received at the venue's marshaling yard and moved to your booth space. Drayage is coordinated and included in the quote.
  • Install (I&D). Our certified, labor-compliant crew rebuilds the approved booth — structure, graphics, lighting, AV, and flooring.
  • Show-floor check. An on-site lead verifies every system before doors open and stays reachable through show hours.
  • Dismantle & return. After the show the crew dismantles, repacks, and ships the booth back to Las Vegas for storage or refresh.

How Long Does Setup Take?

It scales with footprint. A 10x10 inline can be set in a few hours; a 30x40 island with theater, meeting rooms, and rigging typically runs 12–18 hours of install plus rigging and electrical coordination. Because the build is pre-approved, those hours go to assembly, not problem-solving.

Labor & Union Coordination

Union rules vary by venue — Las Vegas runs Teamsters freight plus trade locals; New York's Javits Center is one of the most structured labor environments in the country; Chicago's McCormick Place uses a four-union model with steward sign-offs. Our project managers coordinate every sign-off and confirm the drayage tier before crating, so there's no surprise material-handling invoice after the show.

  • Send the show name, hall, and booth number first; the venue and labor jurisdiction drive every downstream date.
  • We pre-build and inspect the full booth in Las Vegas and send you preview photos; approve those and the on-site install just replicates them.
  • Lock graphics at final output size early; reprints are the most common rush cost.
  • Order electrical, rigging, and internet through the show 4 to 6 weeks out to avoid steep on-site rates.
  • Confirm hanging-sign eligibility and drayage tier before we crate so there is no surprise on the floor.
  • Build the runsheet (demos, meetings, hospitality) before graphics lock so counters and monitors land where the traffic is.

Booth Setup FAQs

Real answers, no fluff. Click any question to expand.

Do you handle booth setup, or just ship the booth?

We handle it end to end. Install and dismantle are part of the turnkey scope — our certified crew sets up and tears down at the venue. There's no separate install invoice.

How long does booth setup take?

It depends on footprint: a 10x10 inline takes a few hours; a 30x40 island with rigging and AV typically runs 12–18 hours. Pre-building in Las Vegas keeps install time predictable.

What is the warehouse pre-build guarantee?

Every booth is fully assembled and inspected in Las Vegas before it ships. We send preview photos for approval; the on-site crew replicates an already-approved build rather than assembling for the first time on show day.

Do you coordinate union labor and drayage?

Yes. Our project managers coordinate every required union sign-off and confirm the drayage tier before crating. Drayage is included in the flat quote.

Will someone be on-site during the show?

Yes — an on-site project lead verifies every system before doors open and stays reachable through show hours for any issue, from graphics to electrical.

What happens to the booth after the show?

Our crew dismantles, repacks, and ships it back to Las Vegas. We store it for 90 days at no extra cost if you want to reuse it, and can refresh graphics for the next show.

What does turnkey actually mean here?

One invoice covers design, fabrication, graphics, freight, install, dismantle, and show paperwork. There is no separate drayage, electrical, or labor bill after the show.

Where do you build and ship from?

Everything is designed and pre-built at our Las Vegas warehouse, inspected, then shipped to your show city. Install and dismantle are handled by our certified crews.

How fast can I get a quote?

Within 24 hours of submitting the quote form you receive a custom 3D rendering and full price, every line item under one fixed number.

Do you handle drayage and union labor?

Yes. Drayage is included in the flat quote, and our crews coordinate every required union sign-off at the venue, with the COIs needed for install and dismantle access.

Can I add AV, monitors, and lighting?

Yes. Monitor walls, theater AV, LED towers, lighting design and controllers, touchscreens, and on-site operation are all sourced and run by our team under one quote.

What are your payment terms?

Standard terms are 50% on design approval and 50% before ship date. We accept ACH, wire, and major credit cards. Net-30 is available for established corporate clients with credit approval.

Install was the calmest part of the show. The booth went up exactly like the warehouse photos and the lead never left our side.
